Job Title: Documents and Information Officer

Job Summary: Working closely with the HR Business Partners and Advisers to manage the Human Resources registry system.
Job Description: The Commonwealth Secretariat is the principal intergovernmental body of the Commonwealth, responsible for advancing and achieving the shared goals of the association’s 53 member governments in advancing democracy, development and respect for diversity. The HR function is expected to continuously seek to align the Secretariat’s human capital capacity with its mission, capabilities and changing mandates to ensure that it carries out its functions effectively and efficiently. The Documents and Information Officer will be working closely with the HR Business Partners and Advisers to manage the Human Resources registry system. He/she will provide support across the Human Resources and Facilities Management Division (HRFM) and ensure that documents can be retrieved more effectively; information is safeguarded; and records retention policies are adhered to. The job holder is expected to be able to lift heavy document boxes.
Requirements: To be considered for this role you must have either a degree with three years’ working experience or a technical qualification with eight years’ working experience. You will need to have a minimum of three years’ experience in documents and information management. Skills in MS Office suite – specifically Excel, strong administrative and data entry skills, high attention to detail and strong communication skills are essential requirements. Experience with electronic records management systems, and knowledge of archiving and the confidential destruction of files are desirable.
